Roles and permissions
Access is granted per chatbot. Someone can be Owner of one chatbot and Viewer of another in the same account.
The three roles
| Owner | Manager | Viewer | |

| Chat conversations | ✓ | ✓ | ✓ |
| Chatbot settings | ✓ | ✓ | |
| Site info | ✓ | ✓ | |
| AI responses and prompts | ✓ | ✓ | |
| Appearance | ✓ | ✓ | |
| Users and invitations | ✓ | ✓ | |

The practical difference between Owner and Manager is the catalog. A Manager can tune how products are searched and presented, but cannot import feeds, edit products, or restructure categories.
Invite someone
- Open the chatbot
- Go to Settings → Users
- Enter the person’s email address under Invite User
- Pick Manager or Viewer
- Send
They receive an email with a secure link. The invitation also appears under Pending Invitations on their Account page once they log in, where they can Accept or Delete it.
The invitee needs a Mikabot account. If they do not have one, they sign up with the invited address first.
Change or remove access
Go to Settings → Users → Users with Access. Change a role from the dropdown, or remove the user entirely. Changes apply the next time they load a page.
Pending invitations can be withdrawn from the same screen before they are accepted.
Ownership and billing
Each chatbot has exactly one account owner, and that owner’s subscription plan sets the limits for the chatbot: how many products it can hold, how many messages it can serve, how many people can access it.
To hand a chatbot to a different account — for example when a client takes over from an agency:
- Go to Settings → Users
- Open Transfer ownership
- Select the new owner from the users who already have access
- Confirm
After the transfer, the new owner’s plan governs the chatbot, and their limits apply immediately. Make sure their plan is large enough before you transfer.
Choosing roles in practice
- Agency managing a client site — agency user as Owner, client contact as Manager
- Client owns the subscription — client as Owner, agency as Manager
- Marketing colleague who only reports — Viewer
- Someone who maintains the product feed — Owner, since feeds are Owner-only
